This policy explains what personal information Two Newts Print Shop collects, why, who we share it with and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).
Who we are
Two Newts Print Shop is a trading name of Two Newts Sticker Co. Ltd, a company registered in England and Wales, company number 14285262, registered office Unit 1, Rumbush Farm Business Park, Rumbush Lane, Earlswood, Solihull B94 5LW. Our shop is at 4E Heathfield Road, Kings Heath, Birmingham B14 7DB, where we print, embroider and make stickers.
We are the “controller” of your personal data, which means we decide how it is used. We are registered with the Information Commissioner’s Office (ICO), registration number ZC265306.
Questions about this policy or your data: email hello@twonewts.co.uk or call 07808 057099.
What information we collect
We only collect what we need to make and deliver your order and run our business.
- Order details: your name, billing and delivery address, email, phone number, what you ordered, sizes, quantities and any notes you add.
- Payment details: card and PayPal payments are handled by our payment providers. We never see or store your full card number.
- Your artwork and designs: logos, images, PDFs and text you upload or send us, plus any names you ask us to print (for example on leavers hoodies or team kit).
- Account details: if you create an account, your login email, password (stored encrypted) and saved addresses.
- Trade account details: if you apply for a trade account, your business name and type, phone, website, logo, what you need and how often you order.
- Messages: emails, contact form messages, phone calls and proof approvals between you and us.
- Website use: your IP address, browser and device, pages visited and how you found us, collected through cookies (see Cookies below).
If you send us names or details of other people (for example a class list for leavers hoodies), please make sure you have their permission, or their parent or guardian’s, to share them with us for that purpose.
How we use it and why we’re allowed to
The law says we need a lawful reason (“lawful basis”) for each use of your data.
| What we do | Lawful basis |
|---|---|
| Take, make, proof and deliver your order, and take payment | Contract: we need it to fulfil your order |
| Send order emails: confirmation, proof, progress updates and delivery | Contract |
| Run your account or trade account, including your saved designs and prices | Contract |
| Answer your questions and handle returns or complaints | Contract, or legitimate interests |
| Keep invoices and order records for tax and accounting | Legal obligation |
| Remind you about a basket you didn’t finish, or that it may be time to reorder | Legitimate interests (you can opt out any time) |
| Ask you to review us on Google after your order | Legitimate interests (you can opt out any time) |
| Send you offers and news by email | Consent: only if you tick the box to sign up |
| Keep the website secure and stop fraud and spam | Legitimate interests |
| Understand how people use our website and measure our adverts | Consent, through the cookie banner |
“Legitimate interests” means we have a genuine business reason that doesn’t override your rights. You can object to any of these at any time (see Your rights).
Who we share it with
We never sell your data. We share only what each company needs to do its job for us, and they must keep it safe.
| Who | Why |
|---|---|
| Stripe, WooPayments and PayPal | Taking card and PayPal payments securely |
| Royal Mail, DPD and other couriers | Delivering your order |
| 123 Reg | Hosting our website and storing order data |
| WooCommerce (Automattic) | The shop software our website runs on |
| Our email providers | Sending order emails, proofs and reminders |
| Google (Analytics, Site Kit, reviews) | Website statistics and review requests |
| Meta (Facebook and Instagram) | Measuring our adverts, only if you accept marketing cookies |
| Our accountant and HMRC | Keeping legally required financial records |
We may also share information if the law requires it, or to protect our rights, for example to prevent fraud.
Cookies
Cookies are small files saved on your device when you visit a website.
- Essential cookies keep the website working: your basket, checkout, login, security and whether you chose light or dark mode. These are always on, because the shop can’t work without them.
- Statistics cookies (Google Analytics) tell us which pages are popular, so we can improve the site. These only run if you say yes.
- Marketing cookies (Meta and Google) help us see whether our adverts work and show you relevant adverts. These only run if you say yes.
You can accept or reject non-essential cookies using the banner when you first visit, and change your mind at any time using the cookie settings link at the bottom of every page. You can also clear cookies in your browser settings.
Emails, reminders and reviews
- Order emails about your order (confirmation, proof, progress, delivery) are part of the service and will always be sent.
- Basket reminders: if you start checkout and don’t finish, we may send up to 2 reminder emails about that basket.
- Reorder reminders: trade customers may get an occasional reminder when it’s usually time to reorder. You can turn these off in your account or by asking us.
- Review requests: after your order we may email you once asking for a Google review.
- Offers and news: only if you’ve opted in.
Every reminder and marketing email has an unsubscribe link. You can also email hello@twonewts.co.uk and we’ll stop.
Data stored outside the UK
Some of the companies above (such as Stripe, PayPal, Google and Meta) may store or process data outside the UK, including in the USA. When this happens, it’s protected by UK-approved safeguards, such as the UK–US Data Bridge or the ICO’s standard contract clauses.
How long we keep it
| Information | How long |
|---|---|
| Orders and invoices | 6 years from the end of the financial year, as UK tax law requires |
| Artwork and designs for one-off orders | 12 months after your order, so you can reorder, then deleted |
| Saved designs on a trade account | While your trade account is open, then 12 months |
| Your website account | Until you ask us to close it, or after 3 years with no activity |
| Messages and enquiries | 2 years |
| Unfinished baskets | 90 days |
| Marketing sign-ups | Until you unsubscribe |
Keeping it safe
Our website uses an encrypted (HTTPS) connection, passwords are stored encrypted, and payments are handled by specialist payment companies so card details never reach us. Only people who need your information to make or deliver your order can see it. If there’s ever a data breach that puts you at risk, we’ll tell you and the ICO as the law requires.
Your rights
You have the right to:
- See the personal data we hold about you and get a copy.
- Correct anything that’s wrong or incomplete.
- Delete your data, unless we must keep it by law (for example invoices).
- Restrict how we use it while a concern is sorted out.
- Object to us using it for legitimate interests, including reminders and review requests.
- Take it with you in a common format (data portability).
- Withdraw consent at any time, for example for marketing emails or cookies.
To use any of these rights, email hello@twonewts.co.uk. It’s free, and we’ll reply within one month.
If you’re unhappy with how we’ve handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Children
Our website is for adults. We don’t knowingly collect data from children, except names or sizes an adult (such as a teacher, club leader or parent) gives us to make an order, like leavers hoodies or team kit. We use these only to make that order.
Changes to this policy
We’ll update this page if anything changes. The date at the top shows when it was last updated.
